DojoPilot Privacy Policy

DojoPilot ("the Service") is operated by Vantage Method ("we", "us"). DojoPilot is a marketing dashboard for martial-arts gyms: it connects to marketing accounts you authorize, displays their performance data back to you, and helps you act on it. This policy explains what we collect, why, and your choices.
Information we collect
- Account connections you authorize. When you connect Google, Meta (Facebook/Instagram), or an email provider, we receive OAuth access tokens (or API keys you paste) and the marketing data those connections expose — for example ad campaign performance, search analytics, website traffic statistics, page and audience metrics, and email send/engagement statistics.
- Contact details you submit through our early-access form: name, email, phone, gym name, and your message.
- Basic operational logs needed to run and secure the Service.
How we use it
- To display your own marketing performance back to you in one dashboard.
- To power the in-app AI assistant: aggregated metric snapshots (never your credentials) are processed by Anthropic's Claude API to generate analysis and recommendations.
- To send email campaigns you initiate, via our email delivery provider (Resend).
- To respond to your inquiries and provide onboarding.
We do not sell your data. We do not use it for advertising of our own. We do not share it with third parties except the processors named above, and only as needed to provide the Service.
Google user data — Limited Use disclosure
DojoPilot's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data (Google Ads, Search Console, and Google Analytics data) is used only to provide the dashboard and analysis features you see in the app, is never sold, is never used for advertising targeting by us, and is never transferred except as necessary to provide those user-facing features or as required by law.
Meta platform data
Data received from Meta's platform (Facebook Pages, Instagram, and Meta Ads) is used solely to display your own marketing performance to you and to perform actions you explicitly request. You can disconnect Meta at any time from the Connections page, which deletes our stored tokens. You may also request deletion via Meta: removing DojoPilot in your Facebook settings triggers our data-deletion endpoint and we delete the associated tokens and data automatically.
Storage, security & retention
OAuth tokens and marketing data are stored encrypted in transit and at rest in our hosting provider's (Railway) managed database, and are never exposed to your browser or to other users. We retain data while your account is active. When you disconnect a provider we delete its tokens immediately; residual cached metrics expire within minutes.
Your choices & deletion
You can disconnect any provider at any time in the app. To delete your account and all associated data, email team@vantagemethod.com and we will complete deletion within 30 days.
